One of Winston’s clients assigned specific communication tools for different purposes. Internally, emails were used for non-urgent context and background discussions. For urgent matters, the company’s messaging app was the go-to, provided it did not require immediate response. The most urgent "Hair on Fire" requests were reserved for direct phone calls, with special cues like consecutive calls indicating an immediate need for attention. 

Steps Toward Effective Communication 

  1. Inventory Communication Methods: Identify all channels your team uses, both those provided by the company and personal ones. Understanding your current landscape is crucial. 
  1. Set Intentions: Choose and agree upon specific tools for specific purposes. This prevents the individualistic chaos of using too many, varied methods. 
  1. Protect Productive Time: Restrict emails to matters that can be addressed within a set timeframe, preventing distractions from urgent, but not important, messages. 
  1. Empower Team Members: Establish processes for joining communication threads at convenient times yet provide channels for urgent needs when they arise. 
  1. Respect Personal Time: Encourage sending emails during business hours by using scheduling features to maintain a healthy work-life balance.

Streamlining communication channels and utilizing tools like CRMs more effectively can vastly improve the speed at which information is retrieved, thus enhancing productivity, and decreasing the likelihood of distractions.
